Application FAQs

How does my organization apply for funds?

Begin by reading the Grantmaking section on the CFC website. Review the instructions to create an account and begin an application. Please note, all organizations will need to register an account in the system, but once an account has been created for an organization, multiple applications can be processed via this account.


Are there deadlines for grant applications?

There are no open funding opportunities for the remainder of 2019. Beginning in 2020, Caring for Colorado Foundation has new deadlines annually for grantmaking:

  • The first Friday in February.
  • The first Friday in August.

The next open grant deadline is Friday, February 7, 2020.  Grant applications must be submitted electronically by 5:00 p.m. on the deadline date.


Can I get help if something in the grant guidelines is unclear?

Does Caring for Colorado accept the Colorado Common Grant Application?


Does the Caring for Colorado Foundation have any required application forms?

Yes, Caring for Colorado Foundation requires the following completed forms for all grant applications:

Applicants will upload these forms to the online application system.


In addition the following attachments must be uploaded to the online application system:

1.      A list of the Board of Directors with the organizational affiliation for each member

2.      Anti-discrimination policy

3.      List of names and brief description of qualifications of key program/project staff

4.      List of the major contributors to your organization and the amounts of their contributions

5.      Financial Data (specifics listed below)


What financial data is required for the application?

1.      Prior fiscal year-end financial statements, audited if available

2.      Most current Year-to-Date internal financial statements (Statement of Activities and Balance Sheet), including budget-to-actual data, if available

3.      Current annual operating budget – revenues and expenses for organization’s current fiscal year

Use the Financial Documentation Roadmap to determine what financial documents your organization must submit


Should I show in-kind contributions on the line-item budget?

Yes.  There is a column to show in-kind contributions.

Does Caring for Colorado fund indirect costs?

CFC will consider indirect costs as part of a proposal budget if the costs are directly tied to the program or project. If an organization is seeking funding for indirect costs, the reasons for doing so must be justified in the budget narrative. Contact a Program Officer at the foundation to learn more about CFC's approach to indirect costs. 


What should I do if my organization does not have audited financial statements?

Provide the following:

1.       Your most recently filed IRS Form 990 (or 990 EZ) - ALL PAGES

2.      Your most recent fiscal year-end Balance Sheet and Statement of Activities


What if my most recent audit or 990 is for an earlier fiscal year than the most recently finished one?

Submit your organization’s internally prepared Balance Sheet & Income Statement for the most recently completed fiscal year end in addition to your most recent audit or 990 tax return.

If I am using a fiscal sponsor, what additional materials do I need to provide?

1.       Fiscal Sponsor's most recent fiscal year-end financial statements; audited if available

2.      Fiscal Sponsor's most current year-to-date internal financial statement (Balance Sheet and Statement of Activities)


I've submitted my application. What should I expect now?

When you click "Submit," you will receive an email confirmation that we have received your application. If you do not receive an email confirmation, please call the foundation at 720-524-0770 or toll-free at 1-800-463-7713.

I submitted my application, but there's a mistake in it. Can I submit another one?

If you discover a mistake in your application or have any technical difficulties, please call the foundation at 720-524-0770 or toll-free at 1-800-463-7713.


Grants Management System FAQs

What is the preferred browser for the grants management system?

Google Chrome is the recommended browser for CFC’s grants management system. While other browsers are compatible with the system, visibility, functionality and performance is optimized in the Chrome browser.


How does an organization create a grants management system account?

All organizations, including current grantees, previous applicants and new applicants, must go through a registration process to access the system. Please note the registration approval process will be completed within three business days, so consider this as you prepare to submit an application or report. Access the login page, click on “Create an Account Now” on the lower right side of the page, to begin the registration process.


How does an organization access a registered grants management system account?

If your organization has completed the registration process, you are ready to use the system. Access the login page, enter the email address of the existing user, and click “Reset/create password” to establish individual credentials in the grants management system. A link will be sent to the email address to establish a new password. If the email address is not linked to a previously registered account, an email will be sent with instructions to establish a new user account.


Can multiple people in an organization have access to the account?

Yes, once an organization is registered with an online account, multiple contacts can be added to view and edit applications, reports etc. 

What if I forget my password?
Go to the online grant portal page and click "Reset or create password".  Type your email address and click "Submit".  Further instructions to reset your password will be sent to your email.


If I am in the middle of writing my application online, can I save it and continue working on it at a later date?

Yes.  Click on "Save".  Your application will be saved and you will be taken to a page that lists any saved applications you may have.  To access saved, but not submitted requests, click on "Pending Requests" in the left hand column.  If you want to continue work on your application, find it in the list of applications within Pending Requests and click on it.

You then can review the information you've provided thus far and make necessary modifications by clicking "Edit". If you're satisfied with the contents of the application, click "Submit" and then "OK" to forward your application for consideration. If you're not ready to submit your application, click "Save".


What happens if my system crashes while I'm submitting my application online?

Although the online grant application system has been designed to minimize loss of information, we recommend using the "Save" option frequently. Each time you click "Save", the system automatically saves the information you have entered since the last time you saved. Please note the system will automatically logoff after 15 minutes of inactivity.


How do I submit attachments using the online application system? 

Applicants should upload required documents to the online application system. Please follow the on-screen instructions on the grant application site to upload attachments to the system. Upload only one document per required document type. If you do not have a required attachment, create and attach a document to explain why it was omitted. Is my organization's information kept private when I apply online?

Caring for Colorado Foundation takes your privacy seriously. We do not rent or sell information about your organization or your grant application with other people or with nonaffiliated companies or organizations.

How secure is the website that is handling the online application process?

Very secure. The foundation uses the Fluxx grants management system. is hosted within the Amazon Web Services cloud.  Amazon Web Services maintains ISO 27001 certification and publishes a SOC 1 Type 2 and SOC 2 reports. See for more details. 


Grant Reporting FAQs

If I am awarded a grant, what are my grant reporting requirements and how do I submit my reports?

Grant reporting requirements are outlined in all grant agreements. Please refer to your grant agreement for details.

When a requirement for a progress or final report is due, you will receive an email notifying you that the report requirement was added to the account you created when you submitted an online application.  Go to the "For Grantees" page to see instructions and login to your account. Once logged in, click on "Reports Due" to see a list of reports pending submission with due dates listed. Complete the online fields, upload any required attachments and click "Submit.” Reports will then show up in the "Submitted Reports" section.
